WhatsApp Business App vs WhatsApp Business API: Which One Do You Need?

The free app is perfect for a shop owner with one phone. Here is exactly where it stops working — and why you may not have to give it up to get the API.

Almost every Indian business starts on the free WhatsApp Business app. It is quick to set up, it works on the phone you already have, and for a while it is all you need. Then the team grows, the chats pile up, and someone asks whether you need “the API”. This guide explains what really changes — and what does not.

The short answer

In one line: the app is a phone, the API is a system. The app is built for one person talking to customers; the API is built for a business that needs many people, automation and bulk messaging on one number.

What the WhatsApp Business app does well

  • A business profile with your address, hours, website and catalogue.
  • Labels to sort chats, and quick replies for common answers.
  • Automatic greeting and away messages.
  • Broadcast lists — though a message reaches only contacts who have saved your number, and a list holds a limited number of contacts.
  • It is free, and it is on your phone.

Meta has also added business broadcasts to the app in some markets, which can reach contacts who have not saved your number and include scheduling and basic results. It is a step up from broadcast lists, but it is still one account run from one app.

Signs you have outgrown the app

  1. More than one person needs to reply and you are passing a phone around, or everyone is logged into the same account with no idea who answered what.
  2. Customers wait because messages arrive faster than one person can read them.
  3. You want to message customers who have not saved your number — order updates, reminders, offers — reliably and at scale.
  4. You answer the same questions all day and want a chatbot or AI assistant to handle them.
  5. You need to know what is working — which campaign was read, which agent is slow to respond.

What the API adds

  • A shared team inbox — many agents on one number, each chat assigned to someone, with internal notes and history.
  • Template messages — approved by Meta, sent to opted-in customers even if they have never saved your number.
  • Messaging at scale — Meta's messaging limit starts at 250 unique customers a day, rises to 2,000 after business verification, and grows automatically to 10,000, 100,000 and unlimited as you send good-quality messages.
  • Automation — chatbot flows, keyword replies and AI assistants that hand over to a person when needed.
  • A path to the blue tick — an Official Business Account shows a blue checkmark; it requires business verification, two-step verification and an approved display name, among other conditions.

What it costs

The app is free. On the API, Meta charges per delivered template message — in India, ₹0.8631 for a marketing message and ₹0.115 for a utility or authentication message, plus GST — and your provider charges for the panel. You may not have to choose

Until recently, moving a number to the API meant giving up the WhatsApp Business app on it. With Meta's coexistence feature, the same number can stay active in the app on your phone while your team uses the API — your contacts and recent chat history come across when you connect. Read how WhatsApp coexistence works for the details and limits.

Keep the app, add the team inbox
