When to send it

  • As soon as an invoice is raised for an order or a job
  • When a monthly or recurring bill is generated
  • When a customer asks for a copy of an earlier invoice
  • After GST or billing details on an invoice are corrected

Tips for approval and replies

  • Name the invoice number and amount in the body. Reviewers approve billing templates faster when the purpose is obvious from the fixed words alone.
  • Link to the PDF on your own website with a URL button, not a shortened link.
  • Keep cross-selling out. A “you may also like” line or a coupon on the invoice message makes the whole template marketing.
