When to send it

  • Right after an online, UPI or bank-transfer payment is confirmed
  • When a cash-on-delivery or counter payment is recorded against an order
  • When an advance or part-payment is received
  • When a customer asks for proof of a payment they made

Tips for approval and replies

  • Keep it to the payment: the amount, what it was for and a reference. A line like “shop again for 10% off” turns the receipt into a marketing template.
  • Give Meta realistic samples — a name, an amount such as 2,499 and a real-looking order number — so the reviewer can see exactly what the customer will read.
  • Put the receipt link in a URL button instead of pasting a long link into the body. It reads cleaner and never looks like a suspicious link.

Is a payment receipt on WhatsApp a utility or a marketing template?

Utility, as long as it only confirms the customer’s own payment. Add an offer, a discount or a product suggestion and Meta treats it as marketing, which is billed at the higher marketing rate.

Can I send the receipt PDF on WhatsApp?

The simplest way is a URL button that opens the receipt on your own website. If the customer replies, you can also send the PDF as a normal chat message while the 24-hour window is open.

Should the receipt include the transaction or UTR number?

Yes, when you have it. A reference the customer can quote to their bank or to you settles most “did my payment go through?” questions without a phone call.
